Rob Tidey Coaching respects your privacy and is committed to protecting your personal information.
This Privacy Policy explains what information I collect, why I collect it, how it is used and stored, who it may be shared with, and the rights you have in relation to your personal information.

Health information is classed as special category personal data and receives additional protection under UK data-protection law.
Application and enquiry information, including information submitted through the Rob Tidey Coaching website, application forms, email, WhatsApp or consultations.
Payment and transaction information, including information relating to your coaching subscription and payment status.
Full card details are processed by the payment provider and are not normally received or stored directly by Rob Tidey Coaching.

3. How I collect your information
Personal information may be collected when you:
visit the Rob Tidey Coaching website;
complete a coaching application;
contact me by email, telephone or WhatsApp;
attend a consultation;
purchase a coaching subscription;
complete health screening or onboarding information;
use Trainerize;
participate in online or in-person coaching;
complete check-ins;
provide progress information, measurements or photographs; or
otherwise communicate with me in connection with coaching.
I may also receive limited information from service providers used to operate the business, such as payment confirmation from Stripe.
4. Why I use your information
I may use personal information to:
respond to enquiries and coaching applications;
assess whether my coaching service is suitable for you;
arrange consultations;
create and manage your coaching account;
provide personalised training programmes;
provide nutrition and weight-management coaching;
conduct appropriate health and safety screening;
adapt training to your circumstances;
track and review your progress;
communicate with you and provide coaching support;
arrange in-person sessions;
process and administer subscriptions and payments;
maintain business and financial records;
manage cancellations and customer-service issues;
operate and improve the website and coaching service;
protect the security of my systems and services;

establish, exercise or defend legal claims where necessary.
5. Lawful bases for using your information
UK data-protection law requires a lawful basis for processing personal information.
Depending on the circumstances, I may rely on:
Contract — where processing is necessary to provide coaching you have purchased or to take steps at your request before entering into a coaching contract.
This includes administering your coaching subscription and using relevant information to provide your personalised service.
Legal obligation — where information must be processed or retained to comply with legal requirements, including appropriate financial and tax records.
Legitimate interests — where necessary for the reasonable operation, administration, security and improvement of Rob Tidey Coaching, provided those interests are not overridden by your rights and interests.
Consent — where I have specifically asked for and received your consent for a particular use of information.
The ICO requires organisations to determine their lawful bases before processing data and explain those bases in their privacy information.
6. Health and other special category information
Information concerning your health is special category personal data.
Where health information is genuinely necessary to provide your requested coaching safely and appropriately, the Article 6 lawful basis may be that the processing is necessary for the performance of our contract or to take steps at your request before entering into that contract.
In addition, a separate Article 9 condition is required for processing health information.
Where appropriate, I will rely on your explicit consent under Article 9(2)(a) to process health information necessary for your coaching.
You will be asked to expressly confirm this consent rather than it being assumed from your use of the service.
You can withdraw consent for future processing at any time. However, if the health information is necessary for me to provide coaching safely, withdrawing consent may mean that I am unable to continue providing some or all of the coaching service.
I will only request health information that is reasonably relevant to providing coaching safely and effectively.
The ICO specifically requires explicit consent to be expressly confirmed rather than inferred and stresses data minimisation when health information is collected.
7. Who I may share information with
I do not sell your personal information.
Information may be shared with trusted service providers where reasonably necessary to operate Rob Tidey Coaching.
These may include:
Squarespace — website hosting, website forms and related website functionality.
Stripe — subscription and payment processing.
ABC Trainerize — delivery of training programmes, coaching information, progress tracking and client communication/functionality.
WhatsApp / Meta — where you choose to communicate with me using WhatsApp.
Email and technology providers — where required to communicate with you or operate the business.
Professional advisers — such as accountants, insurers, solicitors or other professional advisers where reasonably necessary.
Government, regulatory or law-enforcement bodies — where disclosure is required by law.
I will only share information that is reasonably necessary for the relevant purpose.
Third-party providers process information in accordance with their own privacy practices and applicable data-protection requirements.
8. International transfers
Some technology providers used by Rob Tidey Coaching may process or store personal information outside the United Kingdom.
Where personal information is transferred internationally, appropriate safeguards required by UK data-protection law will be relied upon where applicable.
These may include UK adequacy regulations, approved contractual safeguards or other lawful transfer mechanisms.
9. How long I keep information
Personal information will not be kept for longer than reasonably necessary for the purpose for which it was collected.
The appropriate retention period depends on the type of information and why it is held.
For example:
unsuccessful coaching applications and general enquiries will normally be deleted when they are no longer reasonably required;
active client information will be retained while coaching is being provided;
relevant records may be retained following the end of coaching where reasonably necessary for legal, insurance, accounting or dispute-resolution purposes;
financial and transaction records may be retained for the periods required by tax and accounting law;
information processed solely on the basis of consent will be reviewed if consent is withdrawn.
Information that is no longer required will be deleted or anonymised where reasonably practicable.
The ICO expects privacy notices to explain retention periods or the criteria used to determine them.
10. Progress photographs and testimonials
Progress photographs, testimonials, before-and-after images or identifiable client results will not be published for marketing purposes simply because you are a coaching client.
Separate permission will be obtained before identifiable photographs, testimonials or results are used publicly for marketing.
You may withdraw consent for future use by contacting me.
Withdrawal will not necessarily affect material that has already been lawfully produced or published before your consent was withdrawn, although I will consider reasonable requests concerning existing online material.
11. Marketing communications
I will only send electronic marketing communications where I have an appropriate lawful basis and where applicable electronic marketing rules permit me to do so.
Where marketing relies on consent, you can withdraw that consent at any time.

Choosing not to receive marketing will not prevent me from sending essential communications relating to coaching you have purchased.
12. Cookies and website analytics
The Rob Tidey Coaching website may use cookies and similar technologies necessary for the website to function and, where enabled, for analytics or other purposes.
Where consent is legally required for non-essential cookies or tracking technologies, these should not be activated until the appropriate consent has been obtained.

We'll configure/check your Squarespace cookie banner separately after this page. The ICO notes that consent is likely to be required for many online tracking technologies.
13. How I protect your information
Reasonable technical and organisational measures are used to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
Access to client information is limited to what is reasonably necessary to operate the coaching service.
However, no internet-based system or method of electronic storage can be guaranteed to be completely secure.
14. Your data-protection rights
Depending on the circumstances, UK data-protection law may give you rights including:
the right to be informed about how your information is used;
the right to request access to your personal information;
the right to request correction of inaccurate information;
the right to request deletion of your information in certain circumstances;
the right to request restriction of processing in certain circumstances;
the right to object to certain processing;
the right to data portability in certain circumstances; and
rights relating to automated decision-making where applicable.
Where processing relies on consent, you also have the right to withdraw your consent at any time.

16. Children
Rob Tidey Coaching services are primarily intended for adults.
I do not knowingly collect children's personal information through the website for coaching purposes without appropriate arrangements being made with a parent or guardian where required.
If services for a person under 18 are considered, additional consent, safeguarding and data-protection arrangements may be required before coaching begins.
17. Automated decision-making
Rob Tidey Coaching does not currently use solely automated decision-making that produces legal or similarly significant effects on clients.
Decisions about coaching suitability, programme design and coaching support involve human judgement.
18. Changes to this Privacy Policy
This Privacy Policy may be updated occasionally to reflect changes in the business, technology used or applicable law.
The latest version will be published on the Rob Tidey Coaching website with the date it was last updated.
